What is Instantly?
Instantly is a cold email sending platform. You connect mailboxes (Google Workspace, Microsoft 365, or plain SMTP), it rotates sends across them, warms new ones up by exchanging mail with other Instantly users, and runs your sequences from a single inbox where replies land. The bundle plans add a B2B contact database and an AI agent that drafts replies.
We use it to run a live outbound campaign for a small B2B service, so everything below comes from a real account, not a demo.

Hidden costs: the mailboxes themselves. Instantly does not send from nothing. A safe setup is three to five Workspace or 365 accounts on their own domains, which is another $20 to $40 a month plus the domains. Budget for that before the software.
Free tier reality check: there is no free tier. The trial is 14 days, which is enough to connect mailboxes and start warmup, and not enough to judge results, because warmup alone should run two weeks before you send anything.
How we’d actually use it
- Buy two or three lookalike domains, set up one mailbox each, connect them, and let warmup run for 14 days before a single cold send.
- Upload a list that you cleaned yourself. Instantly deduplicates by email across your whole workspace, so a contact you already touched in an old campaign will silently not be added again. Know that before you wonder where your leads went.
- Write a three-step sequence, plain text, one clear ask. Set the per-mailbox daily limit low (20 to 30) and let the rotation do the volume.
- Before the real send, mail a handful of seed inboxes you control on Gmail, Outlook and a private domain, and look at where those land with your own eyes. This is the step everyone skips.
- Work replies from the unified inbox on the days you can actually answer. A reply that sits for three days is a lost lead.
Time saved vs doing it manually: rotating sends across five mailboxes by hand is not realistic at all. With Instantly the setup is an afternoon and the daily work is reading replies.
What’s good
- Unlimited sending accounts and warmup on every plan. This is the whole reason to pick it over per-seat tools.
- The unified inbox is genuinely good: every reply from every mailbox in one place, with the lead’s history beside it.
- The API is complete enough to automate list pushes, campaign status and lead updates from a script.
- Sequences, A/Z testing on subject lines and copy variants, and per-mailbox limits are all where you expect them.
What’s not
- The warmup score is not a placement score. Our mailboxes showed a healthy green warmup for weeks while a seed test showed the campaign was not reaching the inbox. Run your own seed test and trust that instead. If we could change one thing about the product it would be a placement gauge that is honest about this.
- The dashboard’s “contacted” and “sent” numbers describe what the tool did, not what a human received. Opens are inflated by scanners; count unique opens and replies only.
- The API has sharp edges: update one field per request, and re-read the record after writing, because a bad payload can fail without a useful error.
- Cross-workspace deduplication cannot be turned off per campaign.
- Cold email results in a trades or local-service niche are thin regardless of tool. Our first 288 contacted produced one reply, and it said no. That is the channel, not Instantly, but do not expect the software to fix a list nobody wants mail from.
FAQ
Q: Do I need Instantly if I only send from one mailbox? A: No. One mailbox sending 30 cold emails a day does not need rotation or warmup software. Instantly earns its price at three mailboxes and up.
Q: Will Instantly keep me out of spam? A: It gives you the tools (warmup, rotation, limits) and none of the guarantees. Domain setup, list quality and copy decide placement. Test with seed inboxes before every new campaign.
Q: Can I export my leads and replies if I leave? A: Yes, leads and campaign data export to CSV and the API exposes everything. The part you cannot take with you is the warmup history on your mailboxes, which lives in Instantly’s network.
Q: What’s the best alternative to Instantly? A: Smartlead is the closest match and prices similarly. Lemlist costs more and leans on personalization features. If your list is opted in, none of these are the right tool; use an email service provider like beehiiv or Kit instead.
